How to Update Information in the CMS Enterprise Portal

You must maintain accurate information on your CMS-855S enrollment application with the National Supplier Clearinghouse (NSC) and in the Provider Enrollment, Chain, and Ownership System (PECOS) at all times. During registration, bidding, and bid evaluation, your information in the Durable Medical Equipment, Prosthetics, Orthotics, and Supplies (DMEPOS) Bidding System, DBidS, and Connexion, the program’s secure portal, will be validated with PECOS data. As a result, you must log into the CMS Enterprise Portal in order to make updates to your role(s) and email address. 

Notes:

If you are requesting a new role or updating your current role, it is important to understand the actions each role will be able to perform. Please see the DBidS and Connexion User Role Table for more information.

Updating Role

Only an individual identified as an authorized official (AO) on your organization’s CMS-855S enrollment application and in PECOS can register in the CMS Enterprise Portal as an AO or backup authorized official (BAO). End users (EUs) can be anyone in your organization that is approved by the AO or a BAO, and does not have to be identified as an AO on your organization’s CMS-855S enrollment application. Updates to the CMS-855S application may be submitted to the NSC or in PECOS. The NSC has up to 45 days to verify and update PECOS.
 

  • AOs – you can remove your own role if you are the only member of your organization registered in the CMS Enterprise Portal (no one is registered as a BAO or EU). However, if other members of your organization are registered, then you must call the Competitive Bidding Implementation Contractor (CBIC) customer service center at 877-577-5331 to remove/change your own role or another user’s role.
  • BAOs or EUs – you may remove/change your own role.

Removing and/or Changing a Role

To change your role, you must first remove your current role by completing the following steps:
 

  1. From the CBIC website, click Portals in the top navigation bar.
  2. Click CMS Enterprise Portal.
  3. Click Modify CMS Enterprise Portal Profile.
  4. Enter your CMS Enterprise Portal user ID and password and select Login.
  5. Click the Request/Add Apps button on the Welcome to CMS Enterprise Portal page.
  6. In the My Access panel, your current role will appear. Select Remove Role for the specific application – DBidS or Connexion.
  7. Your role will be listed on the Request to Remove Role page. Under the Remove a Role column, select Remove for the role you want to remove.
  8. A box will appear with a confirmation statement. Select OK to remove the role.

Requesting a New Role

After removing your old role, wait at least five minutes before completing the following steps to request your new role.
 

  1. From the CBIC website, click Portals in the top navigation bar.
  2. Click CMS Enterprise Portal.
  3. Click Modify CMS Enterprise Portal Profile.
  4. Enter your CMS Enterprise Portal user ID and password and click Login.
  5. Click the Request/Add Apps button on the Welcome to CMS Enterprise Portal page.
  6. Locate the specific application (DBidS or Connexion) in the Access Catalog and click the Request Access button.
  7. Select your new role (AO, BAO, or EU) and click Next.
  8. Complete the Identity Verification by agreeing to the Terms and Conditions, entering your information, and answering a series of questions.
    Note: A user is only prompted to complete the Identity Verification one time. If you have already requested a role, you will not be prompted again. However, if you are a new user, you will be requested to complete the Identity Verification.
  9. Review instructions regarding multi-factor authentication (MFA) and select one of the choices provided:  Add MFA, Skip MFA, or Cancel. (MFA adds an extra layer of protection to your CMS user ID and password by adding a security code. You have the option to associate the security code to your profile by registering your phone, computer, or email. You will only be prompted to add MFA once. However, you may add MFA at any time by accessing the My Profile link from the Welcome Menu at the top right corner of Connexion.)
  10. Complete the required fields on the Request New Application Access page by entering the same Provider Transaction Access Number (PTAN) you provided when you registered to request access for DBidS and Connexion, then click Next.
  11. The Request New Application Access Review page will display. If the information shown is correct, click Submit. If the information is not correct, click Edit and correct the information. You will then click Save, and lastly, click Submit.
  12. The Request New Application Access Acknowledgement page will appear with your request tracking number. You will also receive a verification email. Your role will take up to five minutes to display on the View and Manage My Access page.

Update Email Address
 

  1. From the CBIC website, click Portals in the top navigation bar.
  2. Click CMS Enterprise Portal.
  3. Click Modify CMS Enterprise Portal Profile.
  4. Enter your CMS Enterprise Portal user ID and password and select Login.
  5. On the Welcome to CMS Enterprise Portal page, select the down arrow next to your name on the upper right side of the page.
  6. Select My Profile from the drop down menu.
  7. In the left hand navigation menu, click Change My Profile to display the changes you can make to your CMS profile.
  8. Answer your security questions.
  9. Under Change Profile, enter the new email address in the E-mail Address and Confirm E-mail Address fields and select Submit.
  10. Once you complete the change, you will return to the View My Profile page.
  11. Select OK to close the page.
