How to Update Information in the CMS Identity Management (IDM) System

You must maintain accurate information on your CMS-855S enrollment application with the National Supplier Clearinghouse (NSC) and in the Provider Enrollment, Chain, and Ownership System (PECOS) at all times. During registration, bidding, and bid evaluation, your information in the Durable Medical Equipment, Prosthetics, Orthotics, and Supplies (DMEPOS) Bidding System, DBidS, and Connexion, the program’s secure portal, will be validated with PECOS data. As a result, you must log into the CMS IDM System in order to make updates to your role(s) and email address.

If you are requesting a new role or updating your current role, it is important to understand the actions each role will be able to perform. Please see the DBidS and Connexion User Role Table for more information.

Updating Role

Only an individual identified as an authorized official (AO) on your organization’s CMS-855S enrollment application and in PECOS can register in the CMS IDM System as an AO or backup authorized official (BAO). End users (EUs) can be anyone in your organization that is approved by the AO or a BAO, and does not have to be identified as an AO on your organization’s CMS-855S enrollment application. Updates to the CMS-855S application may be submitted to the NSC or in PECOS. The NSC has up to 45 days to verify and update PECOS.

  • AOs – you can remove your own role if you are the only member of your organization registered in the CMS IDM System (no one is registered as a BAO or EU). However, if other members of your organization are registered, then you must call the Competitive Bidding Implementation Contractor (CBIC) customer service center at 877-577-5331 to remove/change your own role or another user’s role.
  • BAOs or EUs – you may remove/change your own role.

How to Add More Than One Provider Transaction Access Number (PTAN) to a Role

  1. From the CBIC website, click Phases in the top navigation bar.
  2. Click Registration.
  3. Click Visit CMS IDM System.
  4. Enter your CMS IDM System user ID and password, check the box to agree to the terms and conditions, and click the Sign In button. Follow the verification instructions.
  5. Click the Manage My Roles button on the Self Service Dashboard. The Manage My Roles window appears and displays the user’s existing roles.
  6. Click the Add Role button. The Add Role window appears. The Selected Application is automatically populated, and the user will not be able to change it.
  7. The user role will populate and an attribute menu appears.
  8. For an AO, enter the organization details, including the PTAN.
  9. For a BAO/EU, enter the PTAN and search for the organization.
  10. Review the role request information and click the Review Request button. The Reason for Request dialog box appears.
  11. Enter a justification and click the Submit Role Request button. The Role Request window displays Request ID information and a message which states that the request was successfully submitted to an approver for action.
  12. The My Requests indicator on the Self Service Dashboard increments to display the user’s current number of pending requests.

How to Update PTAN/Organization Information for an Existing Role

  1. From the CBIC website, click Phases in the top navigation bar.
  2. Click Registration.
  3. Click Visit CMS IDM System.
  4. Enter your CMS IDM System user ID and password, check the box to agree to the terms and conditions, and click the Sign In button. Follow the verification instructions.
  5. Click the Manage My Roles button on the Self Service Dashboard. The Manage My Roles window appears and displays the user’s existing roles.
  6. Click the View Details button. The Application Roles window appears and displays the role details for the selected role.
  7. Click the Modify Role button. The Edit Role Details window appears. This window contains fields that are similar to those used during the initial role request, but it only permits the user to modify role attributes.
  8. Add one or more role attributes.
  9. Enter a justification statement and click the Submit Changes button. The Edit Role Details window displays Request ID information and a message that informs the user that the request was successfully submitted.
  10. Click the Go to My Roles button. The Manage My Roles window appears and the My Requests indicator on the Self Service Dashboard increments to display the user’s current number of pending requests.

How to Remove a Role

  1. From the CBIC website, click Phases in the top navigation bar.
  2. Click Registration.
  3. Click Visit CMS IDM System.
  4. Enter your CMS IDM System user ID and password, check the box to agree to the terms and conditions, and click the Sign In button. Follow the verification instructions.
  5. Click the Manage My Roles button on the Self Service Dashboard. The Manage My Roles window appears and displays the user’s existing roles.
  6. Click the Remove Role button. The Remove Role decision window appears.
  7. Click the Remove Role button. The Manage My Roles window displays Request ID information and a message that informs the user that the request was successfully submitted.
  8. Click the Go to My Roles button. The Manage My Roles window appears and displays the user’s current roles.

How to Remove PTANs from a Role

  1. From the CBIC website, click Phases in the top navigation bar.
  2. Click Registration.
  3. Click Visit CMS IDM System.
  4. Enter your CMS IDM System user ID and password, check the box to agree to the terms and conditions, and click the Sign In button. Follow the verification instructions.
  5. Click the Manage My Roles button on the Self Service Dashboard. The Manage My Roles window appears and displays the user’s existing roles.
  6. Click the View Details button. The Application Roles window appears and displays the role details for the selected role.
  7. Click the Modify Role button. The Edit Role Details window appears.
  8. Remove the desired PTAN(s).
  9. Type a justification statement and click the Submit Changes button. The Edit Role Details window displays Request ID information and a message that informs the user that the request was successfully submitted.
  10. Click the Go to My Roles button. The Manage My Roles window appears and displays the user’s current roles.

How to Request a New Role

  1. From the CBIC website, click Phases in the top navigation bar.
  2. Click Registration.
  3. Click Visit CMS IDM System.
  4. Enter your CMS IDM System user ID and password, check the box to agree to the terms and conditions, and click the Sign In button. Follow the verification instructions.
  5. Click the Role Request button on the Self Service Dashboard. The Role Request window appears.
  6. Select DMEPOS Bidding System (DBidS) or Connexion from the Select an Application field.
  7. Select a Role.
  8. Review the RIDP terms and conditions, check the “I agree to the terms and conditions” selection box, then click the Next button. The Identity Verification form appears.
  9. Complete the Identity Verification form and click the Next button. The RIDP proofing questions appear.
  10. Answer the proofing questions and click the Verify button. The Attribute menu appears.
  11. For an AO, enter the organization details, including the PTAN.
  12. For a BAO/EU, enter the PTAN and search for the organization.
  13. Review the role request information and click the Review Request button. The Reason for Request dialog box appears.
  14. Enter a justification and click the Submit Role Request button. The Role Request window displays a Request ID and a message which states that the request was successfully submitted to an approver for action.
  15. The My Requests indicator on the Self Service Dashboard increments to display the user’s current number of pending requests.

Update Email Address
 

  1. From the CBIC website, click Phases in the top navigation bar.
  2. Click Registration.
  3. Click Visit CMS IDM System.
  4. Enter your CMS IDM System user ID and password, check the box to agree to the terms and conditions, and click the Sign In button. Follow the verification instructions.
  5. Click the My Profile button located on the Self Service Dashboard. The My Profile window appears.
  6. Click the Personal Contact Information button. The Personal Contact Information window appears.
  7. With the Personal Contact Information window open, click the Edit button. The Personal Contact Information becomes modifiable.
  8. Make the desired changes to email address and then click the Submit Changes button. The screen refreshes and the Personal Contact Information window displays the updated information.
